LANDSCAPE ARCHITECT MANAGEMENT. This
application was designed to track a variety of data on prospective clients,
current clients, and former clients. Each client project has a budget and
specific phases. It also tracks a large number of architectural resources,
such that a virtually infinite number of search combinations for plants can be
entered, such as by water requirement, sun and/or temperature requirement,
coverage, foliage color, flowering ability and color, seasonal preference,
etc. The program also tracks employee time spent, by project and phase, and
assigns a default billing rate for each type of employee; the default rate is
alterable by billing line item if necessary. The program tracks all
reimbursable expenses, allocating them to project and phase, and coordinates
all reimbursables with the invoicing segment of the program. The program will
automatically create invoices for any designated time period, to include all
employee hours by phase, and all reimbursables by phase. The invoice is initially
created in editable format, so the managing partner can edit the figures and
items as needed, before the invoice is finalized and sent to the client. The
program ensures all billable line items are presented for invoicing, and
protects against rebilling previously invoiced items. The program also permits
generating personalized mailings to any prospect, client, or former client,
and tracks all such mailings. It tracks account status on all projects, and
can print any current or historical invoice or statement. The program tracks a
large amount of data on thousands of plant types, and allows assigning any of
the plants to any project. The project assignment section allows a full
materials schedule to be assigned and manipulated, to include the quantity and
types of each plant used. The program produces a large number of management
reports, and can print mailing labels for any or all clients or suppliers in
the database. Finally, the application includes elaborate security to ensure
privacy of all data, and restricting access to various parts of the program
based on user login.
Results: Dozens of man-hours saved per month in administrative
overhead. More accurate and reliable project tracking and record keeping,
and much quicker retrieval of records for active projects.
