ARCHITECTURAL OFFICE MANAGEMENT. This
application tracks projects, project budgets, prospects, clients, and former
clients. It tracks employees time by employee class, and by how much time they
spend on each project. Reports and invoices are generated showing percent
project completion for each phase of the project, and hours put in by each
class of employee on each phase. It also tracks reimbursable expenses and
includes these on invoices. Invoices are produced in draft format, which can
be edited before being sent to the client. Reports and invoices show how each
project is progressing relative to the budget, and provide the capability for
the managing partner to postpone billing for specific segments of the invoice
if desired. Automatic invoice tracking ensures no billing elements are
overlooked, and prevents rebilling for the same item. Finally, the application
includes elaborate security to ensure privacy of all data, and restricting
access to various parts of the program based on user login.
Results: Hundreds of man-hours per year in reduced overhead, and
more accurate employee work hour allocation to each project. Additionally,
the principal architect has been able to perform significantly more
"what-if" calculations with the budgeting module, resulting in
increased profits to the company.
